EDAS Require a Training & Business Administration Apprenticeship in Poole

Hours: 37.5 hours per week

Salary: £5 per hour

Centre of Employment: 54a Ashley Road, Parkstone, Poole

As a member of the EDAS Team, the postholder will co-ordinate and provide administrative support to the Finance Department and Training Department:

  • Word Processing/Typing - Letters, Reports, Team Meeting Notes, emailing learners and related professionalsPhotocopying – to ensure an adequate supply of all stationery, information sheets, training packages, handouts, leaflets etc.

  • Scanning – contracts, learner details, booking forms, application forms.

  • Health and Safety – to do a weekly building check and monthly 1st aid kit check to ensure the health and safety of all employees, visitors, volunteers and clients within the building.

  • Filing – to maintain the filing systems whether on paper or on an electronic database.

  • Note Taking – to take notes at any meetings as required.

  • Petty Cash – to maintain the petty cash system for both teams with management support.

  • Uploading results QuartzWebs – infill learner information and progress on the QuartzWebs data management systems for learners on accredited courses of study.

  • Proof reading forms supporting training department in the completion and returning of required Skills & Learning paperwork

  • Purchase Orders – to keep a record of and be responsible for ordering items for all of Finance and the Training Department such as equipment and stationery orders.

  • Monitor messages to check the answer machine daily and pass on messages to staff as appropriate.

  • Monitoring the telephones, responding accordingly and accepting bookings and dealing with enquiries from actual or potential learners. To take accurate messages for staff as required. To record requests for training information, courses etc.

  • Events – to support the team in the preparation of visual displays, presentations etc and attend events if necessary

  • Ascentis standardisation meetings - to accompany Training Lead to awarding body meetings

  • Tidy training room after delivery of sessions and ensure it is set up ready for next training session; ensure adequate stocks of refreshments and sundries are available at all times.

  • Training Dept matrix – keep the training matrix up to date

  • Certificates – Be responsible for the creation, ordering, distributing of official and non-official certificates to learners.

  • Community workshops – to accompany Training Lead on the delivery of community workshops.

IT experience – able to use Microsoft Office Software including Word and Excel.

Knowledge of what a database is

Willingness to learn about administration support
